For contractors who pay subcontracted crews

Don't let one uninsured sub turn into a surprise premium-audit bill.

Each month we check the subs you actually paid against their certificates of insurance, chase missing or expiring certificates for you, and tell you who not to pay yet. You find the gaps before your workers' comp or general liability auditor does.

No software to learn. No contract. You send a payment report and your certificates; we do the chasing.

Why spreadsheets miss it

Certificates expire on different dates

Every sub renews at a different time. A spreadsheet only helps if someone remembers to open it, and the week nobody checks is the week a policy lapses.

The auditor starts from what you paid

Auditors match names on checks and 1099s against certificates. The risky sub is often the one who never made it into your tracker.

Chasing takes time

Subs ignore emails. Agents send the wrong certificate. Somebody in the office ends up spending afternoons on it.

How it works

  1. 1

    Send us two things

A monthly vendor-payment report (a QuickBooks export or a spreadsheet works) and your subs' certificates of insurance, forwarded to a dedicated inbox or dropped in a shared folder.

  2. 2

    We match payments to coverage

We read each certificate (carrier, policy dates, limits) and check every payment date against that sub's coverage dates and your requirements.

  3. 3

    We chase what's missing

Subs with missing or expiring certificates get polite, automatic reminders. Where appropriate, we also ask the agent listed on the certificate for an updated one.

  4. 4

    You get a clear report

A weekly "don't pay yet" list and a one-page monthly report: covered, expiring, and gaps, with the dollars paid during each gap and an estimated exposure based on your policy rates.

We use AI to read certificates and draft reminder emails. A person reviews every flagged item and every judgment call.

Frequently asked questions

Is this insurance, legal, or tax advice?

No. We track documents against the requirements you set and report what we find. We don't tell you what coverage to buy, and we don't interpret policies. For coverage questions, talk to your licensed insurance agent. For legal or tax questions, talk to your attorney or CPA.

Do you sell insurance or get paid by insurance companies?

No. We aren't an insurance agency, and we don't earn commissions on anyone's policy. You pay us a flat monthly fee for the service.

Does a certificate of insurance prove a sub is covered?

Not by itself. A certificate is a snapshot that "confers no rights," and a policy can be cancelled after the certificate was issued. We check dates and limits against your requirements and ask for updated certificates, but we can't guarantee that any policy is in force. See Insurance Journal on certificates vs. policy language.

Will this guarantee I won't owe anything at audit?

No. Audit outcomes depend on your carrier, your state's rules, how your workers are classified, and your records. Our goal is to help you find and fix certificate gaps early. We can't promise any particular audit result.

What do you need from me each month?

About 10 minutes: a vendor-payment report for the month, plus forwarding any certificates you receive. At the start, we'll also ask for your requirements (for example, minimum limits and whether workers' comp is required) and your class-code rates from your policy, so exposure estimates use your numbers, not ours.

What about subs who have no employees?

Rules for sole proprietors and workers' comp exemptions vary by state. We'll flag these subs and note any exemption documents you have on file. Whether a document is acceptable is a question for your carrier or agent. In Idaho, contractor registration with the Division of Occupational and Professional Licenses requires either a workers' comp certificate or a statement of exemption (Idaho Code §54-5210).

Which states do you work in?

We're starting with contractors in Boise / Treasure Valley, Idaho (Boise, Meridian, Nampa, Eagle, Caldwell, and nearby towns). For now we check certificates for Idaho jobs only.

How do you handle my data?

We only ask for payee names, payment dates, amounts, and certificates. No bank logins and no Social Security numbers. Files are stored in access-controlled accounts with two-factor authentication and used only to deliver the service. You can ask us to delete your files at any time.

Do you use AI?

Yes. AI helps us read certificates and draft reminder emails. A person reviews every flagged item and handles every exception.

Can I cancel?

Yes, anytime. There's no contract. You keep copies of everything we've collected for you.
